Our shipping support begins when the order, destination and delivery requirements are known. We can coordinate transport for products across our custom metal product range, including awards, recognition items and promotional metal goods.

Available transport channels include:

  • Air freight: Airport or forwarder-managed transport for orders that need an air cargo route.

Mode availability does not mean that every channel is suitable for every order. Product type, carton count, packed weight, dimensions, destination access and schedule can change the practical options. We review these points before confirming the shipping plan.

Transport mode and trade term are separate decisions. The mode describes how the goods move. The trade term defines which party handles each part of the movement, cost and risk. Both must be reviewed together.

No mode should be selected from the product quantity alone. A smaller but heavy shipment may need a different review from a larger order with lighter packed cartons. The delivery address also matters because a port, airport, warehouse and business address create different handoff requirements.

How EXW, FOB and CIF Divide Shipping Responsibilities

EXW, FOB and CIF set different responsibility points between Gairun and the buyer. The term must include a named place or port in the order documents so both parties understand the handoff.

  • EXW, or Ex Works: The goods are made available at the agreed factory location. The buyer normally controls collection, export arrangements, main transport, import procedures and destination delivery. The exact loading and document responsibilities should be agreed with the buyer’s forwarder.
  • FOB, or Free on Board: This term is used for sea or inland waterway transport. The seller handles the agreed origin steps and places the goods on board the nominated vessel at the named port. The buyer normally appoints or controls the main ocean transport, and risk transfers when the goods are on board.
  • CIF, or Cost, Insurance and Freight: The seller arranges ocean freight and the required insurance to the named destination port. Risk still transfers when the goods are placed on board at the origin port. The buyer remains responsible for destination import clearance and later delivery unless the order agreement states another arrangement.

Choosing Between DAP and DDP Delivery

DAP and DDP can extend coordination toward the buyer’s destination, but they divide import responsibilities differently.

DAP, or Delivered at Place, means the seller arranges transport to the named destination and presents the goods ready for unloading. The buyer normally handles import clearance, duties, taxes and unloading. This option requires a clear delivery address and confirmation that the buyer can act as importer or appoint the required import representative.

DDP, or Delivered Duty Paid, places import clearance and applicable duty arrangements within the seller’s delivery responsibility. However, DDP cannot be assumed to work for every country, product or consignee. Local importer rules, tax registration requirements, customs controls and freight channel limits must be checked first.

For either term, provide the destination country, full delivery location and importer details available to your organization. We will review the order before confirming whether DAP or DDP can be offered for the route. Customs clearance and final delivery remain subject to the agreed term and the requirements of the destination authorities and service providers.

Information Needed for a Destination and Customs Review

A useful shipping review connects the logistics request to the actual custom product order. Packed weight and dimensions depend on the product structure, quantity and packing arrangement, so an accurate route cannot be chosen from the destination alone.

Gairun has more than 10 years of independent export experience and is familiar with customs rules and HS classification work. HS codes are customs categories used to identify traded goods for documentation, duty and regulatory purposes.

Examples used for relevant product classifications include 8306.2900 and 7117.9000. These are not universal codes for every medal, coin, pin or promotional item. Classification must be checked against the product’s material, construction, intended use and destination requirements.

Carrier and Freight Forwarder Coordination

We work with DHL, FedEx, UPS and TNT, as well as international air and sea freight forwarders. A carrier name alone does not confirm that its service is suitable for an order. Coverage, cargo acceptance, customs channel, shipment format and destination arrangements must also match.

Our team can review an available carrier or forwarder based on the packed shipment and agreed trade term. If your company has a nominated freight forwarder, include the forwarder’s contact details, collection instructions and required shipping documents in the inquiry. We can then review the proposed handoff against the order.

Freight rates and service conditions are project-specific. They depend on the completed shipping information and the available channel at the time of booking. Carrier schedules and delivery commitments are not treated as confirmed until the shipment arrangement has been reviewed and accepted.

Shipment Tracking and the Buyer Handoff

Our one-to-one project follow-up includes logistics tracking after dispatch. We can share available shipment information and coordinate with the selected carrier or forwarder within the scope of the agreed shipping arrangement.

The buyer’s tasks continue to depend on the trade term. Under EXW, the buyer may need to appoint the collection party and control the transport chain. Under FOB or CIF, the buyer must prepare for the responsibilities that begin at or after the agreed port handoff. Under DAP, the consignee normally manages import clearance and destination charges. Under DDP, destination cooperation may still be required for documents, contact details or local delivery access.

Clear consignee information reduces avoidable handoff problems. The company name, recipient, telephone number, address and importer details should match the requirements for the chosen route. Any change after dispatch may be subject to carrier, forwarder or customs review.

Gairun supports international express, air freight, sea freight and rail transport. Availability and suitability depend on the shipment, destination, schedule, route coverage and agreed trade term. We confirm the method after reviewing the order.
EXW places collection and most transport responsibilities with the buyer from the agreed factory location. FOB transfers risk after goods are placed on board at the named origin port. CIF includes seller-arranged ocean freight and required insurance to the named destination port, while risk transfers at the origin port. The named place or port must be stated clearly.
Under DAP, the seller arranges delivery to the named place, while the buyer normally handles import clearance, duties and taxes. Under DDP, the seller takes responsibility for import clearance and applicable duties within the agreed delivery scope. DDP is confirmed only after destination and importer requirements have been reviewed.
Provide the product type, quantity, destination country, postal code or port, delivery address, schedule and preferred trade term. Packed weight, carton dimensions and other shipment details can then be connected to the product quotation and final order information.
We can review collection and handoff arrangements with a buyer-nominated forwarder. Send the forwarder’s contact details, requested origin procedure, transport mode and document instructions. The arrangement is confirmed after it has been checked against the order and selected trade term.
HS classification is checked using the actual product characteristics and destination requirements. Codes such as 8306.2900 and 7117.9000 may apply to relevant products, but no single code covers all custom medals, coins, pins, awards or promotional metal items.
